PRIVACY POLICY
EPICs Inc. (hereinafter referred to as “the Company”) recognizes the importance of protecting personal information and considers the proper management of such information to be a social responsibility. The Company complies with the Act on the Protection of Personal Information and other relevant regulations and establishes the following guidelines for handling personal information to ensure its safe and appropriate management.
1. Acquisition, Use, and Provision of Personal Information
The Company acquires personal information within the necessary scope to achieve its intended purposes, taking into account the nature, structure, and scale of its business. Personal information is collected through lawful and fair means.
To provide better services, the Company may outsource the handling of personal information to external service providers. In such cases, the Company selects contractors (hereinafter referred to as “Service Providers”) that are recognized as handling personal information appropriately. The Company also ensures, through outsourcing agreements, that necessary measures are in place to manage personal information, maintain confidentiality, and prohibit unauthorized disclosure or redistribution. Furthermore, appropriate oversight is conducted to ensure compliance.
The Company will not disclose or provide personal information to third parties other than Service Providers without the individual’s consent, except when required by law or when requested by public institutions such as courts or law enforcement agencies.
2. Compliance with Laws, Regulations, and Standards
In conducting business operations that involve handling personal information, the Company complies with laws related to personal information protection, the “Personal Information Protection Management System (JIS Q 15001),” national guidelines, and other applicable regulations. Additionally, the Company strictly adheres to its internal rules and exercises due care in handling personal information.
3. Management of Personal Information
The Company appoints a Personal Information Protection Manager to ensure the appropriate management of personal information and to prevent unauthorized disclosure. The Company implements preventive and corrective measures, including proper information security measures, to safeguard against unauthorized access, computer viruses, and other risks that could result in leakage, loss, or damage to personal information.
4. Complaints and Inquiries Regarding Personal Information
If an individual submits a complaint or inquiry regarding the handling of personal information, the Company will respond promptly, except in cases where such response would significantly hinder business operations or potentially harm an individual’s life, body, property, or other rights.
If an individual requests the correction or deletion of their personal information, the Company will promptly conduct an investigation. If it is determined that corrections or deletions are necessary, the Company will take appropriate action without delay.
5. Establishment and Continuous Improvement of the Personal Information Protection Management System
The Company establishes and implements a management system to ensure the proper handling of personal information by maintaining relevant regulations and operational frameworks. The Company is committed to continuously improving this management system.
